NexaFleet Quantum ("we", "us", "our") operates the NexaFleet Quantum mobile application and admin portal (the "Service"). This page informs you of our policies regarding the collection, use, and disclosure of personal data when you use our Service.

1. Information We Collect

When you use NexaFleet Quantum, we may collect the following information:

Account information: Name, email address, and password (stored as a secure hash).
Vehicle appraisal data: Vehicle registration, make, model, colour, mileage, fuel level, photos, damage assessments, document verification records, accessory checklists, and digital signatures.
Location data: GPS coordinates captured alongside appraisals and photos, with your permission.
Device information: Push notification tokens for job alerts.

2. How We Use Your Information

We use the collected data to:

Provide and maintain the Service, including vehicle appraisal records and job management.
Authenticate your identity and manage your account.
Synchronise appraisal data between your mobile device and the cloud.
Send push notifications about assigned jobs.
Geotag appraisals and photos for audit and verification purposes.

3. Data Storage & Security

Your data is stored on secure servers hosted by Railway (backend and database) and Vercel (admin portal). We use industry-standard encryption (HTTPS/TLS) for all data in transit. Passwords are hashed using bcrypt with a cost factor of 12.

4. Data Sharing

We do not sell, trade, or rent your personal information to third parties. Your data may be shared with:

Your organisation's administrators (if you belong to an organisation within the platform).
Service providers who help us operate the platform (hosting, payment processing via Stripe).

5. Photos & Camera Access

The app requests camera permission to capture vehicle photos as part of the appraisal process. Photos are stored locally on your device and synced to our servers. We do not access your photo library beyond what you explicitly capture within the app.

6. Location Data

The app requests location permission to geotag appraisals and photos. Location data is only captured when you actively create or update an appraisal. We do not track your location in the background.

7. Your Rights

You have the right to:

Access your personal data stored in the system.
Request correction of inaccurate data.
Request deletion of your account and associated data.
Withdraw consent for location or camera access at any time via your device settings.

8. Data Retention

We retain your account and appraisal data for as long as your account is active or as needed to provide the Service. You can request account deletion by contacting us.

9. Children's Privacy

Our Service is not intended for use by individuals under the age of 18. We do not knowingly collect personal data from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last updated" date.
